About the Role The Assistant Property Manager (APM) is an execution-focused role responsible for the operational workflows that keep properties running day to day. Reporting to the Property Manager, the APM owns key processes including compliance tracking, utility administration, financial support, and tenant communication while ensuring tasks are tracked, coordinated, and closed in approved systems. This is a high-energy, fast paced role within a growing operations team. The APM serves as operational backup to the PM, handles early-stage escalations with context and recommended solutions, and plays a critical role in maintaining data integrity and process discipline across the portfolio. The portfolio currently includes a growing mix of primarily IOS and industrial with continued expansion anticipated. Key Responsibilities Support the Property Manager in executing day-to-day property operations, serving as operational backup during absences and escalating strategic or financial decisions as appropriate. Track and manage work orders and operational tasks, coordinating vendors and ensuring requests are closed to completion. Own the tenant and vendor insurance compliance process end-to-end using the Jones system, maintaining accurate records and escalating non-compliance exceptions to the PM. Support lease administration and new tenant onboarding, including utility transfers, system setup, and administrative coordination. Manage utility account setup, autopay enrollment, and record maintenance Review aging reports and lead early-stage collections outreach, escalating delinquency risks to the PM with context and a recommended path forward. Own tenant billbacks, ensuring charges and credits are posted accurately and on time Serve as a responsive point of contact for tenant questions, concerns, and service requests, keeping tenants informed on open items through to resolution. Maintain accurate property and tenant data across all operating systems Follow standardized workflows and approved systems consistently Required Skills/Abili ti es: Strong organization skills with high attention to detail and data accuracy Clear and professional written and verbal communication Ability to manage multiple open items simultaneously Demonstrated problem solving skills bringing context and recommended path forward when escalating issues Comfort working in systems driven environment with multiple platforms and workflows Adaptable and self-directed in a fast paced, high growth environment Required Educa ti on and Experience: 1. Bachelor's Degree 2. Minimum 2 years' experience in commercial property management. 3. Proficiency in Yardi & Excel required. 4. Experience with work order and task management systems Preferred Education and Work Experience: 1. Courses or credentials in real estate. 2. CSM, CPM or RPA credentials.
