JOB TITLE: RESERVATIONS MANAGER

DEPARTMENT: RESERVATIONS

REPORTS TO: DIRECTOR OF SALES

OVERVIEW/BASIC FUNCTION:

Maintain occupancy and average rate through control of room inventory. Act as departmental liaison for sales and front office. Run forecasting report on a daily and weekly basis.

RESPONSIBILITIES:

  • Maintain complete knowledge of and comply with all departmental policies, service procedures and standards
  • Ensure that standards are maintained at a superior level on a daily basis.
  • Supervise Group Reservations Sales Coordinator ensuring all tasks are completed to a high standard of detail and guest care. Ensure coverage of Group Reservations responsibilities during absence of Group Reservations Sales Coordinator.
  • Forecast room occupancy on a daily and weekly basis.
  • Participate in weekly forecast call and contribute data as appropriate
  • Coordinate and track all advance deposits accurately.
  • Coordinate all group sales by tracking inventories and billing instructions.
  • Develop Month-end reports tracking.
  • Ensure proper training of all front office personnel in the reservations function.
  • Attend all staff and front office meetings and communicate pertinent information to the staff.
  • Maintain the yearly calendar of sold-out dates and special events.
  • All other duties as required.

QUALIFICATIONS:

  • Experience: Minimum two years' experience as a Reservations Manager for a luxury or ultra-luxury property.
  • Education: College degree.
  • General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest's service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.
  • Technical Skills: Advanced math skills; ability to produce complex reports using room data.
  • Language: Required to speak, read and write English, with fluency in other languages preferred.
  • Physical Requirements: Must be able to exert physical effort in transporting _____ pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
