Sub Rosa Bakery is a craft centered, grain forward bakery and stone milling operation located in the heart of the historic Church Hill neighborhood of Richmond, VA. Our coffee program is also robust and we work closely with two local roasters to provide the highest quality coffee and espresso drinks possible.
Our produce and grain comes directly from farmers in the region and all of our pastries and bread are made with local or regional wheat, rye, and corn that we mill in house. We are part of a movement to recreate a local grain economy and are committed to offering the highest quality we can to our community.
Although we have been open since 2012, we were forced to close last November when the bakery suffered a fire. We are in the midst of rebuilding and are planning to reopen this November. We cannot wait to serve the neighborhood and beyond again as a communal gathering spot with the highest quality of baked goods and coffee possible.
JOB DESCRIPTION
We are looking for a highly organized and proactive FOH Administrative Manager to support and lead the Front of House (FOH) team while managing administrative functions. This role blends hands-on leadership, thoughtful scheduling, and communication with internal teams, vendors, and customers. Ideal candidates will be detail-oriented, comfortable switching between strategic planning and day-to-day execution, and committed to cultivating a warm, efficient, and high-functioning customer-facing space.
Key Responsibilities
Weekly Administrative Tasks
Place weekly coffee orders
Coordinate and send weekly FOH-to-BOH communication
Check and respond to emails, including customer inquiries and donation requests
Manage wholesale communication and order coordination
Attend weekly management meetings
Create and maintain the monthly FOH staff schedule
Schedule and lead FOH team meetings
Communicate and document any policy changes to FOH staff
FOH Leadership & Shift Support
Lead by example while working flexible FOH shifts (barista, cashier, packer, deliveries, etc.)
Maintain product quality and FOH presentation (e.g., pastry pulling, dark loaf organization)
Ensure FOH space is consistently clean, organized, and welcoming
Empower staff through daily feedback, open communication, and shared responsibilities
Cultivate a strong team culture and sense of ownership among FOH employees
Staff Management
Recruit, hire, and onboard new FOH team members
Conduct 60-day reviews and regular performance check-ins
Provide ongoing feedback and support to long-term employees
Share performance updates and concerns with bakery leadership
Schedule and oversee deep cleaning shifts
Maintenance Oversight
Monitor equipment and perform routine maintenance (e.g., espresso machine)
Report repair needs and malfunctions (e.g., refrigeration, dish machine, ice machine) to the appropriate manager
Inventory Oversight
Oversee wine and coffee inventory; address discrepancies as needed
Manage soda and sparkling water stock (and help evaluate its continued relevance)
Coordinate paper goods inventory with Old Dominion
Special Order Website Management
Update website with accurate product listings, pricing, and availability
Adjust ticket volume and scheduling capacity based on workload
Collaborate with BOH Manager on product feasibility and changes

Strong written and verbal communication
High attention to detail and task follow-through
Experience in a high-volume cafe, bakery, or hospitality setting
Comfort with digital tools (spreadsheets, scheduling platforms, email, POS, etc.)
Calm under pressure and responsive to evolving team needs
