Job Title: CFAES Columbus Facility & Events Coordinator Department: FAES | Dean-VP Operating

Under the direction of the CFAES Events Manager, serves as the first point of contact for events taking place at the Nationwide and Ohio Farm Bureau 4-H Building, Agricultural Administration Building Auditorium, facilities at the Waterman Agricultural and Natural Resources Laboratory including: Kunz-Brundige Franklin County Extension Office, Controlled Environment Agriculture Research Complex, and Multispecies Animal Learning Center.

Duties include event request intake, booking management, fiscal support, website updating and supporting day-of event execution.

Additional CFAES Columbus campus facilities may be added as part of this portfolio based on the evolution of the position and college infrastructure.

On-site staffing is required.

Duties and Responsibilities

Event Request Approvals and Relationship Management 30%

  • Monitoring incoming requests.

  • Managing event request updates (dates, times, # of guests, locations, overall scope) in scheduling software.

  • Customer relationship management.

  • Informing customers/event sponsors of OSU Minors Policy requirements when bringing minors onto campus.

  • Providing tours for new business prospects.

Fiscal Support 30%

  • General budget awareness and transaction reconciliation.

  • Issuing quotes & invoices.

  • Modifying and reissuing invoices with prior errors or needed adjustments.

  • Ordering supplies and other consumables.

  • Deposit pickups and armored truck coordination.

  • Rental rate monitoring and adjustment coordination; publishing rate sheets, notifying customers/event sponsors of relevant updates and providing feedback for future updates.

Website Updating 10%

  • Updating rates and public-facing information as needed.

  • Updating social media as needed.

Event Execution 20%

  • Assisting in event setup and teardown as needed.

  • Day-of event point-of-contact for event sponsors as needed.

  • Building staffing and on-site event management as needed.

Administrative Responsibilities 10%

  • Routine coordination with CFAES Columbus Facility & Events Associate to communicate event intake/churn updates, fiscal support updates, etc.

  • Assists CFAES Columbus Facility & Events Associate in staff training of all systems and applications.

Education/Experience

High School diploma or GED and 2 years of relevant experience. Preferred 4-6 minimum years of relevant experience and Associate degree.

Facility and/or event experience desired. Fiscal/procurement experience desired; Microsoft Office Suite experience required; Background in event software knowledge/use desired. Background in fiscal support and administrative software, such as Workday, desired.

Additional Information:

The hourly range for this position is $19.28 - $25.19. Pay offer will fall within this range, based on internal equity, units available budget, and the candidates qualifications.
